Job Description: The Front Office Manager is responsible for overseeing the front office operations in healthcare and pathology laboratories. This role ensures efficient patient registration, appointment scheduling, and customer service while maintaining a professional and welcoming environment. The Front Office Manager acts as a liaison between patients, administrative staff, and clinical teams.
Key Responsibilities: Reception Oversight: Manage the day-to-day operations of the front office, including patient registration and check-in.
Appointment Scheduling: Oversee and optimize the appointment scheduling process to minimize wait times and ensure operational efficiency.
Customer Service: Ensure a high level of patient satisfaction by addressing inquiries, complaints, and feedback promptly.
Staff Management: Supervise and train front office staff to provide excellent service and adhere to protocols.
Compliance: Ensure adherence to privacy regulations such as HIPAA and local healthcare laws regarding patient information.
Billing Support: Coordinate with the billing department to ensure accurate collection of payments and insurance information.
Documentation: Maintain accurate records of patient interactions, appointments, and operational logs.
Reporting: Generate and analyze reports on front office performance metrics, including patient satisfaction and workflow efficiency.
Technology Utilization: Oversee the use of front office systems such as patient management software and telecommunication tools.
Coordination: Act as a communication link between patients and clinical or administrative teams to ensure seamless service delivery.
Education Qualifications: Minimum Requirements: Bachelor’s degree in Healthcare Administration, Business Management, or a related field.
Preferred: Certifications in customer service management or healthcare operations.
Experience: Proven experience in front office or administrative roles, preferably in a healthcare or pathology laboratory setting.
