Job Description: The Billing Executive holds a critical role within the finance or accounts department of an organization, focusing on generating invoices, handling billing queries, and ensuring timely collection of payments. This position requires attention to detail, strong organizational skills, and a keen understanding of billing processes and customer service principles. Billing Executives work closely with other finance team members and liaise with customers and clients to ensure accurate and efficient billing operations.
Key Responsibilities: Invoice Generation: Prepare and issue invoices and credit memos to customers in a timely and accurate manner.
Account Reconciliation: Perform account reconciliations to ensure all payments are accounted for and properly posted.
Customer Service: Handle customer inquiries and disputes related to billing, working to resolve any issues swiftly and maintain customer satisfaction.
Payment Processing: Process payments and update account status. Follow up on outstanding payments and report on any delinquencies.
Record Keeping: Maintain and update billing files, customer information, and historical data.
Reporting: Assist in the preparation of billing reports and analyses for management review, highlighting trends, issues, and the status of accounts receivable.
Compliance: Ensure compliance with company policies, as well as state and federal billing regulations and laws.
Collaboration: Work closely with sales, customer service, and the accounting team to ensure seamless billing operations and resolve any discrepancies.
Education Qualifications: Educational Background: High school diploma required; a bachelor’s degree in finance, accounting, or related field is preferred.
Experience: Previous experience in billing, accounts receivable, or in a similar finance role is highly beneficial.
Skills: Proficiency in billing software and Microsoft Office Suite, especially Excel. Strong numerical abilities and attention to detail. Excellent communication and interpersonal skills.
Certifications: Any additional certifications in accounting, finance, or billing software can be advantageous but are not typically required.
