Job Description: The Facilities Executive is responsible for assisting the Facilities Manager in ensuring the smooth operation and maintenance of the organization’s facilities. This includes overseeing the maintenance of buildings, managing office space, coordinating vendor services, and ensuring a safe and efficient working environment for all employees. The Facilities Executive plays a critical role in supporting day-to-day facility operations, managing administrative tasks, and ensuring that all maintenance and safety protocols are followed.
Key Responsibilities: Facility Maintenance Assistance: Support the Facilities Manager in the regular inspection, maintenance, and repair of the building’s infrastructure, including HVAC, plumbing, and electrical systems. Ensure that all facilities are functioning effectively and are well-maintained.
Vendor Coordination: Assist in managing relationships with external vendors, such as cleaning services, security teams, and maintenance contractors. Ensure that all service agreements are met in a timely and efficient manner.
Space Management: Assist in organizing office spaces, coordinating moves, and maintaining optimal use of the available space. Support the implementation of office reconfigurations or renovations as needed.
Health & Safety Compliance: Help monitor and ensure compliance with health, safety, and environmental regulations within the facility. Assist with safety drills and maintain records of safety inspections.
Inventory and Supplies Management: Oversee the ordering and stock of office supplies, equipment, and materials. Ensure that office areas are stocked with necessary consumables and maintain records for inventory management.
Support on Energy Management: Monitor energy usage and help with initiatives aimed at improving energy efficiency, such as managing lighting systems, HVAC settings, and other energy-consuming equipment.
Cleaning and Hygiene: Coordinate the cleaning schedules with the cleaning staff, ensuring that all common areas, restrooms, and workspaces are kept clean and hygienic.
Security and Access Control: Assist in managing access control systems and security measures within the building. Ensure that security personnel are performing their duties effectively.
Incident Management Support: Respond to and report any facility-related issues or emergencies, such as power outages, water leaks, or security breaches, and assist with resolving them.
Reporting and Documentation: Maintain records related to facility operations, such as maintenance schedules, supplier contracts, and safety inspections. Prepare regular reports on facility status and performance for the Facilities Manager.
General Administrative Support: Assist with administrative tasks such as scheduling meetings, coordinating facility-related projects, and managing communication between various departments regarding facilities needs.
Education Qualifications: Education: A Bachelor’s degree in Business Administration, Facility Management, Operations Management, or a related field is preferred but not mandatory.
Experience: At least 1-3 years of experience in facility management, operations, or administrative roles, ideally within a corporate, commercial, or industrial environment.
Technical Skills: Familiarity with facilities management software, building systems (HVAC, plumbing, etc.), and basic Microsoft Office skills, especially Excel for reporting and data management.
Knowledge: Understanding of basic facility operations, maintenance processes, and safety regulations.
Key Attributes: Organizational Skills: Strong ability to multitask and manage time efficiently, keeping track of ongoing maintenance activities, inventory, and service requests.
Attention to Detail: A keen eye for identifying potential issues in facilities and addressing them before they become larger problems.
Communication Skills: Effective communication skills, both written and verbal, for liaising with vendors, team members, and other departments within the organization.
Problem-Solving: Ability to quickly identify and resolve facility-related issues, ensuring minimal disruption to the organization.
Team Player: Ability to work well with other members of the facilities team, as well as other departments, to ensure smooth operations.
Adaptability: Ability to remain flexible and responsive to changing needs in a dynamic workplace.
Customer-Oriented: Providing excellent service to internal stakeholders by addressing their facility-related needs and concerns promptly.
