Job Description: The Medical Records Supervisor is responsible for overseeing the operations of the medical records department in a healthcare facility. This role involves supervising staff, ensuring the accuracy, accessibility, and security of patient medical records, and maintaining compliance with healthcare regulations and standards. The supervisor plays a crucial role in managing both paper and electronic medical records systems, ensuring that patient information is kept confidential and is available for medical personnel when needed.
Key Responsibilities: Supervise the daily operations of the medical records department, including staffing, scheduling, and workflow management.
Ensure that all patient medical records are accurate, complete, and maintained in accordance with legal and ethical standards.
Oversee the transition from paper to electronic medical records (EMR) systems, if applicable, including training staff on new technologies and processes.
Develop and implement policies and procedures for the efficient management and protection of patient information, in compliance with HIPAA and other healthcare regulations.
Coordinate with healthcare providers, IT staff, and administration to ensure that the medical records system meets the needs of users and supports quality patient care.
Manage the process for releasing patient information to authorized parties, ensuring compliance with privacy laws and regulations.
Conduct regular audits of medical records for compliance with standards and policies; identify and address any issues or discrepancies.
Provide training and support to medical records staff, promoting professional development and ensuring high performance.
Collaborate with other department supervisors and healthcare teams to support patient care and operational efficiency.
Keep abreast of developments in medical records management, healthcare regulations, and technology to continuously improve department operations.
Education Qualifications: Associate’s or bachelor’s degree in Health Information Management, Health Informatics, or a related field.
Certification as a Registered Health Information Technician (RHIT) or Registered Health Information Administrator (RHIA) is highly preferred.
Proven experience in medical records management, with supervisory experience preferred.
Strong understanding of medical terminology, healthcare operations, and legal requirements related to health information privacy and security.
Proficiency in electronic medical records (EMR) systems and medical software.
Excellent organizational, leadership, and communication skills.
