Job Description: The Procurement Executive is responsible for supporting the procurement process by assisting with the sourcing, purchasing, and inventory management of goods and services. This role involves working closely with suppliers, handling purchase orders, ensuring timely delivery of products, and maintaining accurate records of all procurement activities. The Procurement Executive plays a key role in ensuring cost-effective purchasing and the smooth flow of materials required by the organization, helping to meet operational needs while maintaining budgetary control.
Key Responsibilities: Sourcing and Supplier Management: Assist in sourcing and identifying suppliers for materials, products, and services required by the organization. Establish and maintain good relationships with vendors and suppliers.
Purchase Order Management: Prepare and process purchase orders, ensuring that all orders are accurate and placed in a timely manner to meet project and operational requirements.
Inventory Control: Monitor inventory levels, ensuring that stock is available when needed while avoiding overstocking. Support inventory audits and manage stock reordering.
Delivery and Logistics Coordination: Coordinate with suppliers and logistics teams to ensure that deliveries are on time, meet quality standards, and are delivered to the correct location.
Price Negotiation: Assist in negotiating prices, terms, and conditions with suppliers to ensure the organization receives the best value for its purchases.
Documentation and Record-Keeping: Maintain accurate records of all procurement activities, including purchase orders, supplier contracts, and delivery receipts. Ensure proper filing for easy retrieval during audits or reviews.
Compliance: Ensure that all procurement activities comply with company policies, legal regulations, and industry standards.
Reporting and Analysis: Assist in generating procurement reports, tracking expenditures, and monitoring supplier performance. Help identify cost-saving opportunities and provide insights to senior management.
Vendor Payment Tracking: Track payments to suppliers and ensure timely processing of invoices, ensuring compliance with payment terms and conditions.
Procurement Administration: Provide administrative support to the procurement team, such as organizing meetings, updating databases, and handling general inquiries related to procurement.
Market Research: Stay informed on market trends, new suppliers, and pricing to assist in decision-making and improve procurement strategies.
Education Qualifications: Education: A Bachelor’s degree in Business Administration, Supply Chain Management, Procurement, Logistics, or a related field.
Experience: 1-3 years of experience in procurement or purchasing, preferably in a corporate or supply chain environment.
Technical Skills: Proficiency in Microsoft Excel and other Microsoft Office applications. Familiarity with procurement software (e.g., SAP, Oracle, or QuickBooks) is an advantage.
Knowledge: Understanding of procurement processes, contract management, and supplier negotiations. Familiarity with inventory management and purchasing strategies is beneficial.
