Job Description
- The Department Coordinator plays a pivotal role in the smooth operation of a healthcare department, overseeing administrative tasks, coordinating staff schedules, managing departmental communications, and assisting with budgeting and reporting.
- This position acts as the linchpin between departmental staff, management, and other departments, ensuring efficient workflow and supporting the delivery of high-quality healthcare services.
Key Responsibilities
- Manage and coordinate staff schedules, vacations, and leaves to ensure adequate coverage at all times.
- Facilitate communication within the department and with other departments, acting as a point of contact for administrative queries.
- Assist with the preparation and management of the department's budget, including monitoring expenses and suggesting cost-saving measures.
- Coordinate meetings, including scheduling, preparing agendas, and taking minutes.
- Assist in the hiring process by coordinating interviews, onboarding new staff, and providing initial training and orientation.
- Maintain departmental records, ensuring compliance with healthcare regulations and privacy laws.
- Oversee the maintenance and procurement of office and medical supplies, ensuring the department is well-stocked and operational needs are met.
- Assist in the development, implementation, and monitoring of department policies and procedures.
Education Qualifications
- Bachelor’s degree in healthcare administration, business administration, or related field preferred.
- Prior administrative experience in a healthcare setting is highly desirable.
- Strong organizational and multi-tasking skills, with the ability to prioritize tasks in a high-pressure environment.
- Excellent communication skills, both written and verbal, and the ability to liaise effectively with all levels of staff and management.
- Proficiency in office software, including word processing, spreadsheets, and healthcare management systems.
- Knowledge of healthcare regulations and compliance requirements related to departmental management.
