Job Description

  • The Facility Manager is responsible for overseeing the daily operations, maintenance, and management of the organization's facilities.
  • This role ensures that the facility is safe, well-maintained, and operates efficiently to support the organization’s business activities.
  • The Facility Manager is responsible for managing a wide range of facility-related tasks, including building maintenance, health and safety compliance, vendor management, and ensuring the overall comfort and functionality of the workplace for employees and visitors.
  • This position is essential in providing a safe, comfortable, and productive environment for all occupants.

Key Responsibilities

  • Facility Operations Management: Oversee the day-to-day operations of the facility, including maintaining building systems such as HVAC, plumbing, lighting, and elevators. Ensure the facility is clean, safe, and well-maintained at all times.
  • Maintenance and Repairs: Manage preventative maintenance programs for equipment and systems. Coordinate and supervise repairs, maintenance, and installations, ensuring timely completion and minimal disruption to daily operations.
  • Health and Safety Compliance: Ensure compliance with health and safety regulations, building codes, and environmental standards. Conduct regular inspections and audits to identify and mitigate safety hazards.
  • Vendor Management: Manage relationships with external vendors and contractors for services such as cleaning, security, landscaping, and waste management. Negotiate contracts, monitor performance, and ensure service quality standards are met.
  • Budgeting and Cost Control: Develop and manage the facility’s budget, ensuring cost-effective operation of all facility-related activities. Monitor expenditures and implement cost-saving initiatives without compromising service quality.
  • Space Planning and Utilization: Manage office space allocation, layout changes, and optimize space utilization to support organizational growth and employee needs. Oversee office moves and reconfigurations as required.
  • Facility Security: Oversee security systems, including access control, surveillance, and alarm systems, ensuring the facility is secure at all times. Coordinate with security personnel and emergency response teams.
  • Energy Management: Monitor energy consumption and implement energy-efficient practices and initiatives to reduce operational costs and the environmental footprint of the facility.
  • Emergency Preparedness: Develop and implement emergency response plans, including evacuation procedures, fire drills, and other safety protocols. Ensure that emergency equipment is well-maintained and accessible.
  • Sustainability Initiatives: Lead sustainability efforts within the facility, including waste reduction, recycling programs, and environmentally friendly building practices.
  • Reporting and Documentation: Maintain accurate records of facility operations, repairs, maintenance schedules, vendor contracts, and compliance inspections. Report facility-related issues and activities to management as needed.

Education Qualifications

  • Bachelor’s degree in Facilities Management, Business Administration, Engineering, or a related field.
  • 5+ years of experience in facility management, property management, or related fields.
  • Strong knowledge of building systems (HVAC, electrical, plumbing, etc.) and maintenance processes.
  • Experience in budgeting, cost control, and vendor management.
  • Knowledge of health, safety, and environmental regulations, as well as emergency response procedures.
  • Certification in facilities management (e.g., IFMA, BOMA) is a plus.
